Terms and Conditions

1. Definitions

  • Canvos: the provider of the digital workspace service
  • Customer: the company or self-employed person using the service
  • Service: the Canvos digital workspace (email, files, calendar, AI, Office)
  • Server: the dedicated or shared server on which the service is hosted

2. Applicability

These general terms and conditions apply to all agreements between Canvos and the Customer. Deviations are only valid if agreed in writing.

3. Service delivery

Canvos delivers a digital workspace consisting of email, file management, calendar management, AI assistant and office editing. The service is hosted on servers in Belgium.

3.1 Availability

Canvos targets an availability of 99.9% per year, excluding planned maintenance windows. Planned maintenance is communicated at least 48 hours in advance.

3.2 Backup

Canvos performs daily backups of all customer data. Backups are retained for at least 30 days. Restore requests are processed within 24 business hours.

4. Customer obligations

  • Use the platform exclusively for legal purposes
  • Keep account credentials confidential
  • Do not send spam or phishing via the Canvos mail server
  • Respect third-party intellectual property rights
  • Inform Canvos immediately in case of suspected misuse

5. Fees & billing

Fees are invoiced monthly or annually according to the chosen plan. Price changes are communicated at least 30 days in advance. In case of non-payment, Canvos reserves the right to suspend the service after two reminders.

6. Data ownership

All data stored by the Customer via Canvos remains the property of the Customer. Canvos has no right of use over the content of emails, files or other business data. Upon termination, the Customer receives their full data export within 30 days.

7. Confidentiality

Canvos treats all customer data as strictly confidential. Employees only access data for technical support, after explicit consent from the Customer. Canvos never shares customer data with third parties unless legally obliged.

8. Liability

Canvos’s liability is limited to direct damage and the amount paid by the Customer in the previous 3 months, with a maximum of €10,000. Canvos is not liable for indirect damage, consequential damage or loss of profit.

9. Termination

The Customer may terminate the agreement with 30 days’ notice. Canvos may terminate the agreement immediately in case of serious breach. After termination, all customer data is deleted within 60 days.

10. Intellectual property

The platform, software and all associated documentation are the property of Canvos or its licensors. The Customer obtains a non-exclusive right of use for the duration of the agreement.

11. Applicable law & disputes

These terms are governed by Belgian law. Disputes are exclusively submitted to the competent courts of Antwerp, Belgium.

12. Changes

Canvos reserves the right to amend these terms. Customers are informed at least 30 days in advance by email. Continued use after the change date constitutes acceptance.
